Cleaning management for hostels
Cleaning tasks appear the moment a booking checks out — and in a shared dorm, EZ2Stay tells a full clean from a partial one automatically, so staff never disturb guests who are staying on. A staff PIN at the dorm lock starts the clock; an optional supervisor step closes it out with photos.
What is hostel cleaning management software?
Hostel cleaning management software turns checkouts into cleaning tasks automatically and tracks who cleaned what, for how long — instead of a whiteboard and a guess. In EZ2Stay, a task is created the instant a booking moves to checked-out; for shared dorms, the system checks who else is still staying before deciding the task type — a full clean only once every bed in that dorm is empty, or a partial clean scoped to just the beds that emptied if others remain. Entering a staff PIN at the dorm's smart lock starts the task and times the real cleaning duration automatically, and an optional supervisor-verified step with photos can close it out.
| Capability | Limit | Status |
|---|---|---|
| Cleaning tasks generate automatically when a booking checks out | trigger logic is automatic, not owner-editable | Live |
| Dorm-aware partial cleans: only the vacated beds get scoped in, without disturbing guests staying on | applies to shared dorms; private rooms simply get one full-clean task per checkout | Live |
| Staff PIN at the dorm's smart lock starts the task and times the clean | needs a smart lock on that dorm; without one, staff start and stop the task manually | Live |
| Four task states: pending, in progress, completed, and an optional supervisor-verified step with photos | photo verification is optional and off unless the owner turns it on | Live |
| Room-ready notification to a waiting guest | fires only once every guest in that dorm has left and cleaning is completed — one empty bed in a six-bed dorm doesn't trigger it | Live |
| Open cleaning tasks visible live on the staff dashboard, from a phone | same dashboard as arrivals and lock alerts — no separate app | Live |
How it works
- A guest checks out. The booking moves to checked-out status, and EZ2Stay checks who else is still staying in that dorm before deciding what kind of cleaning task to create.
- The task is scoped automatically. Full clean once every bed in the dorm is empty; partial clean of just the vacated beds if other guests remain — no manual triage needed.
- Staff PIN starts the clock. Entering the staff PIN at the dorm's smart lock marks the task in progress automatically and starts timing the real cleaning duration.
- The task is marked complete. Staff close the task from their phone; owners can turn on an optional supervisor-verified step where photos confirm the clean before it counts as done.
- Waiting guests get notified — if enabled. When the owner turns on room-ready alerts, a guest is notified only once every bed in that dorm is empty and the cleaning task is completed.
What the owner configures
| Setting | Default | Who can change it |
|---|---|---|
| Full vs. partial dorm clean logic | automatic, based on who's still checked in | Not configurable — by design |
| Room-ready guest notification | off | Owner |
| Supervisor photo verification (VERIFIED step) | off, optional | Owner |
| Staff PIN auto clock-in/out for cleaning time | on, tied to the dorm's smart lock | Not configurable — requires a smart lock on that dorm |
| Cleaning task visibility on the staff dashboard | visible to staff with access to that dorm | Owner (via staff access level) |
This cleaning logic runs in production at Popcorn Hostel, Bucharest — 49 beds, 12 dorms — where every dorm's task triggers automatically on checkout and staff clock in with the same PIN they use to unlock the room.
Not a fit if
- You need a full housekeeping suite with linen and supply inventory — EZ2Stay tracks cleaning tasks and time, not laundry stock.
- Your dorms don't have smart locks — automatic PIN-based clock-in needs a lock on the door; without one, staff start and stop tasks manually.
- You run private rooms only, no shared dorms — the partial-clean logic is built for dorms; private rooms just get one full-clean task per checkout.
Frequently asked questions about EZ2Stay for hostels
What triggers a cleaning task in EZ2Stay?
A booking moving to checked-out status. For shared dorms, EZ2Stay also checks who else is still staying before deciding whether the task is a full or partial clean.
What happens if only some guests in a dorm check out?
The task is scoped to just the beds that emptied — a partial clean — so staff can do it without disturbing the guests still staying in that dorm.
How does EZ2Stay track cleaning time?
Staff enter their PIN at the dorm's smart lock, which starts the task and the clock automatically. Properties without a lock on that door log start and finish manually.
Does anyone verify the cleaning was done properly?
Optionally. Owners can turn on a supervisor-verified step where photos confirm the clean before the task closes — it's off by default.
Do guests get told when their room is ready?
Only if the owner enables it, and only once every guest in that dorm has left and the cleaning task is completed — a single empty bed in a six-bed dorm doesn't trigger it.
